Zoom integration

What Management OS does with your Zoom data.

Operator-grade transparency. Every OAuth scope we request maps to a specific Management OS feature you can see and measure. Nothing pulled, nothing stored, nothing inferred beyond what this page documents.

1. What we read

Management OS reads meeting and recording data from your Zoom account — specifically: meeting metadata, past meeting and participant lists, cloud recording references, meeting transcripts, AI Companion summaries and transcripts, calendar events, contacts, and the connected user's identity. We do not access raw recording media (audio/video files), webinar registration data, billing data, Zoom Phone call records, Zoom Team Chat messages, or any Zoom data not explicitly listed in the scope table below.

Why: Meeting transcripts and AI summaries are the highest-signal source on a revenue team — what the champion actually said, what the buyer actually objected to, what the rep actually committed. Management OS reads those transcripts and summaries so Account Plans, Coaching Briefs, and the Weekly Brief reflect the real conversation rather than CRM stage labels.

2. What we write

We do not write to your Zoom account. Management OS is a read-only consumer of your Zoom data. We do not create, modify, or delete any Zoom records — no meetings, no recordings, no transcripts, no calendar events, no contacts, no team-chat messages, no settings.

All Management OS outputs (Account Plans, Coaching Briefs, Meeting Prep dossiers, Weekly Briefs) are generated and stored in Management OS's own database and surfaced through the Management OS application — not pushed back into your Zoom account.

3. The OAuth scopes we request — and why each one

Every scope below maps to a specific feature. We requested the minimum scope set needed to deliver the Management OS feature surface; we did not request scopes that we don't currently use. Scope set audited against the live Marketplace app configuration on 2026-06-28.

Required scopes (7)

These scopes are requested on every connection. Without them, the core Management OS feature surface does not function. All scopes are granular (Zoom's post-2023 scope model), and all are read-only. Scope set reduced from 12 to 7 on 2026-06-28 per Zoom's least-privilege guidance.

meeting:read:list_meetings

List the connected user's upcoming meetings so Management OS can map them to accounts, deals, and reps. This is the foundation that lets every recording and transcript flow into the right Account Plan and Coaching Brief.

meeting:read:meeting

Read individual meeting details (topic, agenda, scheduled time, host, settings) so Meeting Prep dossiers anchor on real upcoming meetings rather than calendar-only signals.

cloud_recording:read:list_user_recordings

List the connected user's cloud recordings as references. Management OS does not download or store the media files themselves; only the references and the associated transcripts.

cloud_recording:read:recording

Read recording metadata (start time, duration, recording type) so transcripts and summaries can be matched to the right meeting context.

cloud_recording:read:meeting_transcript

Read meeting transcripts generated by Zoom's cloud recording transcription — the highest-signal source for what was actually said in the room. Feeds Meeting Prep dossiers, Coaching Briefs, and Account Plan updates.

conversation:read:summary

Read Zoom AI Companion meeting summaries (key takeaways, next steps, action items) so the Weekly Brief can surface what was committed in the room and post-call follow-up gaps land on the right rep's coaching priorities.

user:read:user

Read the connected Zoom user's identity (name, email, account id) so Management OS can display the connected account in Settings and so meeting/recording attribution lands on the right workspace member.

4. Where your Zoom data lives

Application database: Supabase Postgres (Management OS's production database, US East). Encrypted at rest (AES-256), encrypted in transit (TLS 1.3). Workspace-scoped row-level security (RLS) means one customer's data is never visible to another.

OAuth tokens: Stored in the same Supabase database under workspace-scoped RLS. Tokens are encrypted at rest and never returned to client browsers. Only the Management OS server-side runtime has access via service-role credentials. Zoom rotates refresh tokens on every refresh and we persist whichever pair the response returns.

Recording media: Management OS does not download or store Zoom cloud recording audio/video files. We read recording references and transcripts only. The media itself remains in your Zoom account under your retention policy.

Inference layer: Anthropic API (Claude models). Transcript and summary data required for a specific brief or dossier generation is passed to Anthropic; outputs are returned to Management OS and stored in our database. Anthropic does not train on customer data per their API terms.

Retention: We retain Zoom-sourced data while your subscription is active. On disconnect we delete OAuth tokens immediately. On subscription cancellation, customer data is retained for 30 days for restoration, then permanently deleted. Data subject deletion requests are honored within 30 days per our Privacy Policy.

5. Adding the App — Install Management OS for Zoom

  1. Sign up at mgmt-os.ai and complete onboarding to your workspace
  2. Open Management OS → Settings → Integrations
  3. Find Zoom in the integration directory and click Connect Zoom
  4. You'll be redirected to Zoom's authorization screen. Sign in with the Zoom account you want Management OS to read from
  5. Review the requested scopes and click Allow
  6. You'll return to Management OS with a confirmation that the integration is connected. The initial meeting and recording sync starts immediately and typically completes within 2-5 minutes for recent meetings; full-history backfill continues in the background

If you administer Zoom on behalf of an organization: Some Zoom accounts require admin pre-approval for new Marketplace apps. If you encounter an approval prompt, your Zoom admin can approve Management OS for organization-wide use through the Zoom Marketplace admin console.

6. Usage — How features map to Zoom data

Zoom meetings, transcripts, and AI summaries feed three primary Management OS surfaces:

  • Meeting Prep dossiers — before your next Zoom call with an account, Management OS pulls every prior transcript and AI summary on that account, surfaces the open commitments, the unresolved objections, the champion language, and the next-step laddering — so you walk into the room with peer-operator context, not a CRM summary
  • Coaching Briefs — managers see GROW-structured coaching prep based on what actually happened in the rep's recent Zoom calls. Discovery depth, objection handling, multi-thread coverage, next-step clarity — all scored from real transcripts against the 17 sales competencies
  • Account Plan updates — every transcript on an account auto-updates the Strategic Account Plan across the 8 canonical dimensions (relationship, Porter, buying committee, value, risks, next plays). The plan reflects the latest conversation, not last quarter's snapshot

The Weekly Intelligence Brief synthesizes across all three with the three pillars — Develop Your Business, Develop Your Team, Develop Yourself. Ask Anything (AMA) lets you query transcripts in plain English: "What did the Acme CFO say about budget timing on the last Zoom?", "Which deals have no champion activity in the last 14 days of recorded Zooms?"

7. Removing the App — Disconnect from Management OS

  1. Open Management OS → Settings → Integrations
  2. Find Zoom in the connected integrations list
  3. Click Disconnect → confirm

On disconnect we immediately delete the stored OAuth tokens and stop reading any new meeting or recording data. Previously synthesized briefs and dossiers remain in your Management OS workspace as historical records — they are not deleted automatically because they may contain decisions and context the leader still references.

To remove all historical briefs and data after disconnect, email privacy@mgmt-os.ai with your workspace identifier. We process deletion requests within 30 days.

8. How to revoke from Zoom's side

  1. Sign in to the Zoom Marketplace at marketplace.zoom.us
  2. Open Manage → Added Apps (or My Apps → Installed)
  3. Find Management OS in the installed apps list
  4. Click Remove → confirm uninstall

Revoking from Zoom's side invalidates our tokens immediately. Our next API call returns 401 and we surface a re-connection prompt in Management OS Settings. Zoom also notifies our app via the deauthorization webhook, at which point we delete the tokens on our side as well.
